Descriptions and Defaults Table

 

This table is accessed from the main window View menu by selecting View / Tables / 'Open Descriptions and Defaults Table'.

 

FleetVIP uses a master list of descriptions to avoid the confusion that might arise from typing errors or whatever.  You may add to the list, change descriptions or delete them.   

 

This list is smart enough to not allow you to delete a description that is already referenced on a scheduled task or history item.  

 

 

While viewing the scrolling list, type the first letter of a Description to locate there in the list.  

 

If you change a description that is already in use, your change will be applied to any existing scheduled tasks or maintenance history.  This keeps your data consistent.

 

What are the defaults and how do they work?

 

First, defaults are optional and you do not need to use them.  Simply leave them blank if you do not want to set any defaults.  But they may save you time if you have many vehicles to track. The fields following 'Description' are all default values you may set including the Notes tab.

 

 

The values you place in the Descriptions and Default table are copied whenever you add a scheduled task. 

 

Example:  Let's say you know an 'Oil Change' should always be considered a warranty requirement for any vehicle you will track.  Check the 'Warranty Requirement' box in the Descriptions and Default table, and whenever you add the scheduled task 'Oil Change' for any vehicle you are tracking, the box 'Warranty Requirement' will automatically be checked as the default value. 

 

Another example: Suppose there are some notes you want to remember for every vehicle whenever an oil change is done.  Click the 'Notes' tab, and whatever you type will be copied to the Notes tab on the Scheduled Maintenance task whenever you add a scheduled task for 'Oil Change'.

 

Other notes: You can select Days, Weeks, Months, Years, Date, or As-Needed for the time units.  If you select Date or As-Needed, then the amount of time and the maximum distance are automatically kept at zero.

 

The word 'Notes' on the notes tab is underlined if there are any notes there. 

 

You can always override any default value when you are add a scheduled task.
